When you engage in Profile Creation: we gather your bio, profile picture, social media links, and website URLs. For Communications: this includes messages with site members, support tickets, and feedback. Any Content Upload: such as images, videos, documents, event materials, digital products, and email newsletters is also collected. Finally, for Payment Processing: we collect bank account details and payment gateway information, which is processed securely through our payment partners.
Information Collected Automatically: When you use ExplaraX, we automatically collect various details to enhance security and provide tailored services. This includes your IP Address for security and location-specific services, Browser Information such as browser type, version, and operating system, and Device Information including device type, operating system, and unique device identifiers. We also use Cookies and Tracking technologies like session cookies, preference cookies, and analytics cookies. Usage Data is collected, encompassing pages visited, features used, time spent on the platform, and click patterns. Additionally, we gather Referral Information (the URL of the site you came from and the site you are going to) and ISP Information (the name of your Internet Service Provider).
Information from Third-Party Integrations: When you connect third-party services like Google, various payment gateways, email services, or WhatsApp, we may receive certain information. This can include contact information from integrated services, authentication tokens, data necessary to provide integrated functionality, and analytics and performance data to improve our service.

Provide and Improve Services: This includes creating and managing your account, processing transactions and payments, delivering tickets, membership access, and digital products, sending transactional emails (confirmations, receipts, updates), providing customer support, managing WhatsApp group integrations, enabling event hosting and community management, processing surveys and forms, delivering newsletters and email campaigns you send, and enabling affiliate tracking and commission payments.
Research and Development: We analyze usage patterns to improve our platform, develop new features and services, conduct A/B testing, fix bugs and enhance product experience, and optimize performance and user experience.
Security and Fraud Prevention: Our efforts involve detecting and preventing fraudulent activities, monitoring for security threats, verifying user identities, investigating suspicious transactions, and complying with legal obligations.

3.1 When We Share Your Information
With Your Consent: We will always obtain your prior specific consent before we share or disclose your personally identifiable information to any partner or user, except as described in this policy.
With Event Organizers/Community Managers: When you register for an event, purchase a membership, or buy a product, your information is shared with the organizer/seller.
With Service Providers: We share information with third-party vendors who help us provide services. These include payment processors (for transaction processing), email service providers (for campaign delivery), analytics providers (for platform insights), customer support tools, WhatsApp Business API providers, cloud storage providers, and security and fraud prevention services.
Legal Requirements: We may disclose user information and account contents to law enforcement authorities under specifically defined circumstances or when legally required.
Business Transfers: In case ExplaraX service gets merged or acquired, we will inform users on the website about such developments before any transfer of personal information.
Public Information: If your profile is public, or your details are in public domain on our site, you may receive unsolicited messages from users on ExplaraX and from external sources.
3.2 Third-Party Integrations
ExplaraX integrates with third-party software to deliver quality services. As part of these integrations, needed information will be shared with or accessed by third-party software, and data exchange occurs as necessary for functionality. 4. GDPR Compliance (For EU Residents)

ExplaraX as Data Controller
ExplaraX is the data controller when:
Event organizers, community managers, or sellers create accounts.
Consumers create accounts on ExplaraX.
Users provide personal details for using ExplaraX services directly.
Users subscribe to memberships or newsletters.
Users participate in surveys or forms.
ExplaraX as Data Processor
ExplaraX acts as data processor when providing services on behalf of organizers/managers:
Issuing e-tickets for events.
Processing membership subscriptions.
Sending emails on behalf of organizers.
Processing online and offline payments.
Delivering digital products.
Generating event marketing reports.
Managing WhatsApp group communications.
ExplaraX may act as both Controller and Processor depending on the service and context.

5. Data Retention and Removal
General Data Retention
Account Data is retained while your account is active and for a reasonable period afterward. Transaction Data is retained as required by law and for fraud prevention. Financial Records are retained to comply with financial regulations and handle chargebacks. Marketing Data is retained until you unsubscribe or object.
Event Organizer/Community Manager Rights
As a data controller, ExplaraX allows organizers and managers to remove consumer, attendee, or member data from their event or community dashboard, delete their non-financial data, and request anonymization of personal data.
When an organizer deletes their event or community, they will no longer be able to see attendee or member data. Personal data of consumers, attendees, and members will be anonymized. However, financial data remains in the system for regulatory compliance, chargeback disputes, and other legal requirements.

If you want ExplaraX to remove your personal data from the system, please send a deletion request to support@explarax.comfor further action.
Important: Financial data associated with transactions may be retained in anonymized form to comply with legal obligations and prevent fraud.
Data Retention for ExplaraX App with Zoom Integration
Organizers retain consumer (or attendee) data for the period necessary to fulfill their needs or as permitted by law. When an organizer deletes attendee data, the personal data of the consumer/attendee will be removed. If financial data exists, the personal data will be anonymized instead. 6. Email Communications
6.1 Transactional Emails
We send transactional emails for account verification and password resets, purchase confirmations and receipts, event/membership updates and reminders, customer support responses, and security alerts. These emails are necessary for service delivery and cannot be opted out of while using ExplaraX.
6.2 Marketing Emails
Email is an important part of event ticketing, community building, and product promotion. ExplaraX provides tools for organizers to send emails to attendees, members, and customers.
Organizer Responsibilities: It is up to the event organizer/community manager to use email features for marketing. Organizers must comply with opt-in consent requirements. Since ExplaraX is the solution provider, we send emails on behalf of organizers when requested through our platform.
Your Email Preferences: When you opt-in to receive information, we use your data to show you relevant advertisements, content, events, memberships, and products from us and our partners. You can unsubscribe from marketing emails at any time.
7. Cookies and Tracking Technologies
We utilize several types of cookies to ensure our platform functions effectively and to enhance your experience. These include Session Cookies, which are temporary and expire when you close your browser, primarily used to maintain your current session. Persistent Cookies are stored on your device to remember your login information, preferences, and settings, allowing for a more personalized and consistent experience.

8. Google Contacts Data Access and Usage
Our application integrates with Google Contacts to enhance user experience when managing community members and event invitations.
Data Accessed: We may access the following Google Contacts information: contact names, email addresses, phone numbers, profile pictures, and other contact-related information (e.g., organization).
Purpose of Access: Google Contacts data is accessed to allow users to manage, view, or synchronize contacts within our application. This facilitates features such as emailing contacts, syncing between devices, and auto-completing contact details. It also enables communication features like sending event invitations, membership invitations, or notifications to contacts, and simplifies adding members to WhatsApp groups or communities.
Data Usage: Google Contacts data is only used for providing core functionalities related to contact management and community building. We do not use this data for marketing or advertising unless explicitly stated and agreed upon by you.
Data Storage and Retention: We retain user contact data only as long as necessary for providing the intended features and as permitted by law.
Data Sharing: We do not share Google Contacts data with third parties, except as required to provide services (e.g., email delivery providers) or as mandated by law. Any data sharing necessary for service delivery is strictly limited to the scope required.
User Control: You can disconnect your Google account at any time, which will revoke access to your Google Contacts data. You can also manage your contacts directly through Google and delete any unwanted information from your ExplaraX account.
Data Security: We implement industry-standard security measures to protect Google Contacts data from unauthorized access, misuse, or disclosure.
9. WhatsApp Integration and Data
When you use ExplaraX's WhatsApp integration features, we access WhatsApp group information and member data through the WhatsApp Business API. We process this data to provide group management features.
Member phone numbers and group interactions are handled in accordance with WhatsApp's policies. It is essential that you obtain proper consent from members before adding them to groups. Please note that WhatsApp's own privacy policy applies to all data processed through their platform.
10. Security Measures
10.1 How We Protect Your Information
We adopt appropriate security measures to protect against unauthorized access, alteration, disclosure, or destruction of your personal information. We ensure data collection security through encrypted data transmission (SSL/TLS), secure authentication protocols, and regular security audits. Data storage is further secured using encrypted databases, secure cloud storage, and robust access controls and authentication, complemented by regular backups. Payment information is processed through PCI-DSS compliant payment gateways. We do not store complete credit card information on our servers.

You are responsible for maintaining the confidentiality of your password, restricting access to your account, logging out after using shared devices, and notifying us immediately of any unauthorized access to your account.

ExplaraX does not provide services to children under age 16. We do not knowingly collect personal information from children under 16. If we discover that we have collected information from a child under 16, we will delete it immediately. This privacy policy makes no provision for children's use of the site.

Access to your name, email address, and private details is restricted to ExplaraX employees who need to know such information in connection with providing our services. All employees are bound by confidentiality obligations and sign confidentiality agreements.
Employee access is limited to: providing customer support, processing transactions, improving product features, fixing bugs, and maintaining platform security.

ExplaraX is based in India. Regarding your account information, you can access and update it through your dashboard, download your data, and close your account (subject to transaction completion and legal requirements).
